CRM

The EmailSendX CRM is a built-in customer relationship management tool that connects your email activity directly to contact and deal management — without needing a separate CRM tool for smaller teams.

Overview

The CRM add-on gives each workspace a lightweight CRM layer directly on top of your email contacts. It's designed for small-to-mid-size teams who want contact and deal tracking without the overhead of a dedicated CRM like HubSpot or Salesforce.

Key capabilities:

  • Enrich email contacts with company, phone, website, and lifecycle stage
  • Track deals and sales opportunities per contact
  • Log notes, calls, and meetings as activities
  • View complete email engagement history (opens, clicks, bounces) on each contact
  • Move contacts through lifecycle stages manually or via automation

CRM is an optional add-on

The CRM feature is an optional paid add-on. Enable it in Workspace Settings → Add-ons → CRM. A 14-day free trial is available.

CRM Contact Profiles

Every email contact in EmailSendX gets an extended CRM profile when the add-on is enabled. The profile includes:

The email timeline is populated automatically — every campaign send, open, click, and bounce for that contact is recorded chronologically. You can see at a glance which emails they engaged with and when.

Deals

Track sales opportunities as deals attached to contacts. Each deal has:

  • Title — brief description of the opportunity
  • Value — estimated deal value in your currency
  • Stage — Lead, Qualified, Proposal, Negotiating, Closed Won, Closed Lost
  • Expected close date
  • Owner — team member responsible
  • Notes — deal-specific notes

View all deals in a Kanban board (CRM → Deals → Board view) or list view. Drag and drop deals between stages in the board view.

Activities

Log interactions with contacts as activities. Activity types supported:

Activities can be logged from a contact profile or from the contact list. Each activity records the date/time, activity type, description, and the team member who logged it. Activities are visible in the contact's timeline alongside automated email events.

Assign follow-up tasks to team members and set due dates to ensure no contact falls through the cracks.

Lifecycle Stages

Every contact has a lifecycle stage that represents their relationship with your business. The default stages are:

Subscriber

Joined your email list but not yet engaged with sales

Lead

Showed interest — clicked pricing link, downloaded content, etc.

Opportunity

In an active sales conversation

Customer

Made a purchase or signed a contract

Champion

Loyal customer and potential advocate

Set lifecycle stages manually in a contact profile, bulk-update from the contacts list, or automatically move contacts through stages using automations. For example, an automation can set lifecycle to "Customer" when a purchase_completed event fires.

The CRM add-on is available for workspaces on Starter plan and above.
